PROCEDURE TITLE:

Disposal of Fixed Asset Equipment

PURPOSE OF PROCEDURE:

Disposal of broken, unrepairable and outdated equipment.

Complete Form #332A if equipment is to be disposed.

  • Form #332A Disposal of Equipment
  • Enter issuing facility name
  • Enter equipment asset number
  • Description of equipment
  • Reason for disposal
  • Acquisition date (found on M204 TERMS screen)
  • Original cost (found on M204 TERMS screen)
  • Issuing Principal/Supervisor signature.

Send completed #332A form to Property Mgt. Specialist.

Property Mgt. Specialist will determine whether equipment should be disposed on premises or have Maintenance pick up the items.

Property Mgt. Specialist will generate the work order for Maintenance to transport equipment if necessary.

Grounds Crew

Verify all equipment included on the work order is picked up and transport equipment to the warehouse.

Warehouse Expeditor

Verify correct receipt and store equipment in warehouse or on Service Center grounds as appropriate.

Notify Property Management Specialist when equipment has been received in warehouse.

Prepare draft agenda item to be present to the Martin County School Board for equipment to be disposed.

Forward draft agenda item to Coordinator of Instruction Technology and and send to the Director of Education Technology for approval if it contains Technology items.

Once approved by Coordinator of Instruction Technology and the Director of Education Technology, prepare final agenda.  Make changes to disposal list if necessary and forward to Director of Purchasing for review and placement on the next Board agenda

Present agenda item to Martin County School Board for approval of disposed equipment.

Once School Board approves disposal, make changes to TERMS for each item.

Determine the best means possible for disposal consistent with Fl Statutes. Disposal methods will including destruction, sale by informal quote, sale by sealed bid, sale by on line auction, sale by live auction, or donation to a qualified agency.

Prepare a list of assets and disposal plan including proposed time line for each for review by the Director of Purchasing.

Review and approve or modify disposal plan and return to Property Management Specialist.

Implement plan with assistance of Director of Purchasing as needed for sealed bids or live auction.

 

 

Make changes to TERMS asset record when physical disposal is complete.
