The Martin County School District property tag is a white rectangle
tag with a barcode and eight digits below. The property asset
tag is usually on the front or side of the equipment. Inventory
is performed on the barcode reader provided by the Property Management
Specialist.
You will be given a barcode reader along with a hard copy of
your site inventory. All equipment is to be scanned with the barcode
reader.
To operate the barcode reader:
Press the “RED” button on the bottom left corner of the barcode
reader.
The first screen that appears will ask for the following:
Once the above information has been entered press “ENTER” the
green button in the middle of keypad.
The second screen will appear and ask for “Asset”. This is when
you aim the barcode reader and press the “SCAN” button on the
barcode reader; it is at the top of the keypad. Hold the SCAN
button and move the scanner down the asset tag.
Once the item has been scanned the barcode reader will ask for
the “CONDITION” of the item. “G for Good, P for Poor”
If condition is correct press “ENTER”
Once and item has been scaned you can move on to the next item
in the same room.
When you change rooms you need to press the “ARROW (>)” button
just to the left of the enter button in the middle of the keypad.
This will allow you to move the cursor backwards to allow you
to change the building or room number.
Building and room numbers must be changed each time you leave
and enter a new room/building.
Once the building and room number has been changed, just press
the enter button to proceed to the next screen to scan the next
item.
Additional Notes:

If you cannot scan an item, just manually
enter the asset number. Remember all asset numbers contain
eight digits.

If barcode reader shuts off, (which it will
after a few minutes without any activity), just press the red
button. The barcode reader goes into a sleep mode.

If you enter a wrong number press the “BKSP”
(backspace) button; which is on the bottom right of the keypad.
This will allow you to backup to make corrections.

When complete do not shut barcode scanner
off, just let it go to sleep.
- Never shut the barcode reader off, let it go to sleep, even
if its for over the night.
- The hard copy of the inventory is for back up to help the property
custodians find all their assets.
Once all items have been scanned at your site, send the barcode
scanner back to the Property Management Specialist. When the
Property Management Specialist receives the barcode scanner it
will be down loaded into TERMS and a report will be printed out
of all the assets that were not scanned. This report will be
sent to the property custodian to assist in locating the missing
items.
Once the inventory is completed, the Property Management Specialist
will printout a final report for Custodians and Principal’s signature.
If an item appears on your inventory and has been previously
transferred to another site, a copy of the Transfer Form #332
must be provided to the Property Management Specialist.
A list of all Missing equipment is sent with all inventories.
Everyone is to make a conscientious effort to find these items.
Some items such as musical instruments are assigned temporarily
to specific students and frequently removed from the campus for
practice or performances. In such a case a perpetual inventory
record is necessary which include the signature of any student
given such privileges. When the instrument is returned, it should
be inspected and the records posted accordingly. These records
should be review at the end of the school year and all instruments
recalled. The items from the perpetual inventory must be included
in the inventory count.
