Property custodians are directly or indirectly (through
persons to whom responsibility is delegated) held responsible
for property. This responsibility includes the following functions:
Establishment of adequate control procedures within the school/department
and continued supervision of their use.
Verifying the receipt of all new property assigned.
Determining the proper location within the school/department.
Note location and make and noting such for certain that any
movement out of the school/department location is properly recorded.
On a Transfer From #332 sent to the Property Management Specialist.
Conveying instruction on adequate
property control functions to all persons partially responsible
for custody of property.
The Property Management Specialist conducts supportive
services for custodians of property and maintains property records
that law requires and which are necessary for control of property.
All property custodians (Principals/Department Supervisors)
are required to perform annual physical on-site inventories of
all equipment items in their custody.
Tangible personal property with a value of $1,000
or more and computer systems valued at $750 or more will be maintained
on inventory records. Property valued at less than $1,000 will
only be added at the request of the property custodian. All $1,000
threshold federal property must be inventoried. All custodians
are reminded, however, that all property received, regardless
of value, is still their responsibility and continues under their
local control and safeguard.
In order to complete this inventory, all property
custodians will receive from the Property Management Specialist
a printout of their facility’s annual inventory, consisting of:

Order and Bldg/Room Order)

Inventory Reconciliation Forms
– Missing

County-Wide Inventory Missing
List
The Property Management Specialist will publish and
distribute a proposed inventory schedule by October 1st
of each year.
