Fixed Assets Procedures

Non-Asset Equipment with Dollar Value of Less Than $1,000

Inventory of non-asset equipment is recommended but not mandatory, under the discretion of the Principal/Director of each school/facility. The exception is computer systems valued from $750 - $999.99. All computer systems and components valued at $750 or more will continue to be included in the site inventory report. The Property Management Specialist will inventory any additional equipment under $1,000.00 if requested by the Principal/Director. This type of inventory will help insure the school/facility of equipment becoming misplaced.

The Property Management Specialist must be notified by the school/facility when the equipment is received that needs to be tagged. Once the equipment has been tagged the information will be entered into the online inventory system.

All custodians are reminded, however, that all property received, regardless of value, is still their responsibility and continues under their local control and safeguard. It is also recommended that all locations mark this equipment with the location’s name, i.e., XYZ High School, once the equipment is purchased. This can be accomplished by using permanent ink. The local numbering system must not be similar to the district property control numbering system except for computers valued at $750 or more. Computer systems and components valued at $750 or more will be tagged with a district bar code tag.

Disposition of Non-Asset equipment will be determined at the school/facilities site. If a site’s property custodian (Principal/Director) determines non-asset equipment is no longer needed they must enter a work order into the on-line work order system to have the item(s) picked up and taken to the Warehouse for disposal. Form #332A must be completed and submitted to the Property Management Specialist listing the items being sent to the district warehouse for disposal.

No equipment should be disposed of at district sites without the prior written approval of the Property Management Specialist.
